Inventory Frequently Asked Questions (FAQ)

What is the difference between a product and a service?

Both products and services are classified as items within DataTrak. Products can include stockable items like bottled water or non-stockable items like dues.
Services are items like personal training which have a useable quantity that need to be tracked.
For example, tennis lessons would be considered a service, since the member would be expected to use these at the club.
Both products and services are assigned to a profit center.

What is the difference between rapid restock and rapid override?

  • Rapid Restock is used to add a quantity to the current stock. Entering a quantity on the Rapid Restock page will add that quantity to the existing quantity.
For example, an item has a quantity of 20. Entering "5" for the quantity on the Rapid Restock page will result in a quantity of 25.
    See Rapid Restock.
  • Rapid Override is used to override the current quantity of an item. Entering a quantity on the Rapid Override page will replace the original quantity with the entered quantity.
For example, an item has a quantity of 20. Entering "5" for the quantity on the Rapid Override page will result in a quantity of 5.
    See Rapid Override.

How can I see what items need to be restocked?

The Inventory report subcategory offers a system default report that provides reorder levels. Additionally, the Inventory Levels Dashboard metric displays the available quantities of stockable products sold at the club, along with an indicator for each item that has reached its reorder level. See Reporting on Reorder Levels.

How do I change the price of an item?

If an item has not yet been deployed to a club, the item price can be changed on the Edit Catalog Item page.
If an item has been deployed and has not been fixed on the Edit Catalog Item page, the price of an item can be changed individually at the club(s) at which it is sold. Unless you are changing the price of an item only at selected clubs, change the price of the item on the Edit Catalog Item page.
See Changing an Item Price.
